Lead routing, instant follow-ups, order updates, connected tools and a weekly report: the five automations that save the most time, and how to choose the tools.

Most growing businesses lose hours every week to small, repeated tasks: copying form entries into a spreadsheet, chasing a lead nobody followed up, sending the same order update by hand. Automation fixes this quietly in the background. These are the five workflows we set up first, because they pay back fastest.
1. Route every new lead to the right person
When someone fills in a form, the lead should reach the right person in minutes, not whenever someone checks the inbox. A routing workflow:
- Creates or updates the contact in your CRM.
- Assigns an owner based on service, location or deal size.
- Alerts that person on email, Slack or WhatsApp.
For TeamSlide we connected their Webflow forms straight to their CRM, so no enquiry sits unseen.
2. Send a useful follow-up automatically
Reply within the first hour and you are far more likely to win the conversation. An instant, personal follow-up thanks the person, says what happens next and offers a booking link. If they don't book, a gentle reminder goes out a few days later.
3. Keep customers updated on orders
For online stores, "where is my order?" is the most common support question. Connect your store to your delivery partner so tracking updates go out on their own. On Alankari's Shopify store, the logistics integration moves each order from checkout to dispatch without anyone copying details across. If you are launching a store, it belongs on your launch checklist.
4. Connect the tools that don't talk to each other
Your newsletter, community, membership and CRM tools often hold separate lists of the same people. Tools like Zapier and Make keep them in sync, so a new member is added everywhere at once. For Design Executive Council we linked HubSpot, Beehiiv, Circle and Memberstack this way.
Automate the task you do every week and resent every time.
5. Get a weekly report without building it
Pull the numbers that matter (new leads, sales, website traffic, open tickets) into one short summary that lands in your inbox every Monday. Ten minutes of reading replaces an hour of opening dashboards.
How to choose your tools
| If you use | Start with | Good for |
|---|---|---|
| HubSpot | HubSpot workflows | Lead routing, follow-ups, lifecycle stages |
| Shopify | Shopify Flow and apps | Orders, stock alerts, customer tags |
| Many different apps | Zapier or Make | Connecting tools without custom code |
| Your own platform | Custom integrations | Complex logic and high volumes |
Start small, then add AI
Get the basic workflows running reliably before adding AI steps. Once they are, AI can summarise enquiries, sort them by intent or draft replies for a person to approve. A good next step is an AI chat assistant that feeds the same workflows.
